Privacy Policy

This Privacy Policy explains how GroundPro LLC("GroundPro", "we", "us", "our") collects, uses, shares, and protects information when you use the GroundPro website and application (the "Services"). By using the Services, you agree to the collection and use of information as described here. This Policy should be read together with our Terms of Service.

1. Information We Collect

Information you provide

  • Account information: name, company/business name, and email address when you sign up, plus your password (stored in hashed form by our authentication provider, Supabase).
  • Application/record content: the information you speak or type about chemical applications, including customer and site names, application areas, products, rates, target pests/weeds, notes, and timestamps.
  • Voice recordings:if you use voice entry, we temporarily process the audio you record to transcribe and structure it into a record. See "AI Processing" below for how this audio is handled.
  • Customer/site data you enter:names, addresses, or other identifying details about your customers' properties that you choose to record. You are responsible for having appropriate rights/consent to store this information about third parties.

Information collected automatically

  • Location (GPS) data:with your browser's permission, we capture device location coordinates and a timestamp at the time you save an application record, used to attach verified weather data and location provenance to the record. If location access is denied, this field is left for manual entry and flagged as unverified.
  • Weather data: we send the coordinates and date/time associated with a record to Open-Meteo (a third-party weather data provider) to retrieve wind, temperature, and related conditions. This request does not include your name, email, or other identifying information.
  • Usage and device data: basic technical data such as browser type, device type, and access timestamps, collected via standard server logs and our hosting provider, for security and reliability purposes.
  • Session cookies:Supabase authentication uses essential cookies to keep you signed in. We do not use advertising, tracking, or analytics cookies, and we do not operate any "offer wall" or third-party advertising on the Services.

2. How We Use Information

  • To provide, operate, and maintain the Services (e.g., creating and storing your application records, generating audit packets);
  • To process voice/text input via AI to populate record fields for your review;
  • To attach verified weather and location provenance to records;
  • To match products you mention against our product reference database;
  • To maintain the security, integrity, and proper functioning of the Services (including detecting abuse);
  • To communicate with you about your account or material changes to the Services or this Policy; and
  • To comply with legal obligations.

We do not use your information for advertising, and we do not sell or share your personal information for cross-context behavioral advertising.

3. AI Processing (Google Gemini)

When you submit a voice or text entry, the relevant audio or text — and only the content of that entry, not your account credentials — is sent to Google's Gemini API for transcription and structured parsing into record fields. This processing is governed by Google's applicable API terms and privacy commitments for that service. We do not control, and are not responsible for, Google's independent processing of this data beyond providing the requested output to GroundPro. AI output is returned to you for review before anything is saved to your account.

4. How We Share Information

We do not sell your personal information. We share information only as follows:

  • Service providers: we use Supabase (database, authentication, and file storage), Google (AI transcription/parsing via the Gemini API), Open-Meteo (weather data lookups by coordinate), and hosting/infrastructure providers (e.g., Vercel) to operate the Services. These providers process data only as necessary to provide their service to us.
  • Legal and safety: if required by law, subpoena, or legal process, or to protect the rights, property, or safety of GroundPro, our users, or others.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy or a successor policy.

We have not sold or shared personal information with third parties for cross-context behavioral advertising in the preceding twelve (12) months, and do not intend to.

5. Categories of Personal Information (US State Privacy Laws)

In the past twelve months, we have collected the following categories of information:

  • Identifiers — name, email address, business name, IP address.
  • Geolocation data — device coordinates captured at the time of an application record, with your permission.
  • Audio/electronic information — voice recordings you submit for transcription.
  • Customer records you create — names/addresses of your customers or job sites that you choose to enter.
  • Internet/device activity — basic technical and log data described above.

We have disclosed geolocation data and audio/electronic information to the service providers identified in Section 4 (Google for AI processing, Open-Meteo for weather lookups) for the business purpose of operating the Services. We have not sold any personal information.

6. Your Rights & Choices

Depending on where you live (e.g., California and other US states with comprehensive privacy laws), you may have the right to know what personal information we hold about you, request a copy of it, request correction or deletion, and not be discriminated against for exercising these rights. You can exercise most of these rights directly from your account settings, or by emailing privacy@groundpro.app. We will verify your identity before fulfilling a request and may decline requests as permitted by law (for example, where retention is required for legal or recordkeeping purposes — see Section 7).

7. Data Retention

We retain your account information and application records for as long as your account is active, because the Services are designed to maintain ongoing compliance records for your business. If you request deletion of your account, we will delete or anonymize your personal information within a reasonable time, except where:

  • we are permitted or required to retain it to comply with legal obligations, resolve disputes, enforce our agreements, or for fraud-prevention and security purposes; or
  • it remains in encrypted backups until those backups are rotated out in the normal course.

Note: many pesticide and chemical-application recordkeeping regulations require the business (not GroundPro) to retain application records for a multi-year period. Account deletion does not relieve you of your own recordkeeping obligations — export an audit packet before deleting your account if you need to retain records.

8. Security

We use technical and organizational measures designed to protect your information, including encryption in transit, row-level access controls so accounts can only access their own data, and authentication via Supabase. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Children's Privacy

The Services are intended for business use by adults and are not directed to children under 18. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact privacy@groundpro.app and we will delete it.

10. International Users

The Services are designed for businesses operating in the United States and hosted on infrastructure located in the United States. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above and, for material changes, provide reasonable notice. Continued use of the Services after changes take effect constitutes acceptance of the revised Policy.
